Pivotal Communications is a
Kalamazoo, MI-based marketing and
PR firm. It is one of two agencies
serving Four Winns - one of the top 5
recreational marine manufacturers in
this country. Pivotal serves numerous
other clients as well.  

The Situation
Pivotal Communications needed an
easy way to share marketing
documents online with Four Winns, its
other agency and Pivotal’s other
clients.

Four Winns generates a large
amount of marketing communications
material in a short period of time.
“This major boat manufacturer has
used multiple creative resources,
and, in the past, the problem has
always been keeping everybody on
the same page,” says John Sadowski,
Owner of Pivotal Communications.
Pivotal handles the electronic
development for Four Winns: video,
web site, web tools, and e-learning
and e-training resources. Another
agency is providing mostly print
materials.

Both Pivotal and Four Winn’s other
agency work from common designs,
layouts and common file sources. So,
the ability to use an online site as a
place to store and access these files
would help both agencies be more
efficient and responsive.

repository that’s absolutely
phenomenal,” says Sadowski.
WebOffice has become the center
and the hub of Pivotal’s operations,
helping centralize and coordinate the
sharing of data and creative
marketing material for greater
efficiencies within the agency.
WebOffice has also allowed Pivotal to
leverage web technology to provide a
greater range of services to its clients.

Pivotal Communications’ staff of 6, its
cadre of 12 freelancers, its
independent suppliers, its client, Four
Winns and Four Winns’ other agency
can all readily access information,
and leave documents, layouts and
graphics on Pivotal’s WebOffice site
to expedite service.

Although the Four Winns’ marketing
materials are coming from different
agencies, they have to feel and look
like they are coming from a single
client and manufacturer. “The
WebOffice site has been very positive
and valuable in that respect,” says
Sadowski.

WebOffice also facilitates staff
scheduling. Sadowski synchronizes
Microsoft Outlook to the WebOffice
calendar and synchronizes his PDA,
via Outlook. He also uses the
WebOffice Task Manager internally,
because it synchronizes to his PDA.
The Document Manager works well in
tandem with the WebOffice Calendar.
“I’ll be on a photo shoot, on location,
for the next two weeks. A lot of our
preparation work, preliminary layouts,
catalogues and shot lists are in the
WebOffice Document Manager. I can
access it from anywhere. It’s a really
positive resource,” Sadowski says.
“WebOffice is in tune with what
businesses are looking for. We’re a
small business, and the functionality
this provides is really important to us,
and Four Winns is finding that
functionality is every bit as
appropriate for a large company as
well. I also think WebOffice is very
fairly priced and flexible in its pricing.”

administer and manage,” adds
Sadowski. “One of my colleagues at
Four Winns is sharing administrative
responsibilities with me and I’m
teaching him how to set up
permissions and document folders —
with very little coaching. WebOffice
has a very nice Help system and he
was able to quickly get very
comfortable and set up his own
procedures and permission systems.”

focuses on the experience of four
RE/MAX regional offices in

The Situation
RE/MAX Classic agents in Canton,
Livonia, West Bloomfield and

In the WebOffice Document Manager,
Boji and her colleagues store a library
of real estate forms that agents are
able to access and download
immediately — no matter where they
are. Many of these documents --form
letters, home listings, and PowerPoint
presentations for buyers — are
retrieved and utilized on a daily basis.
“The ability to access a Sales &
Purchase Agreement and fill it out on
the spot is a wonderful benefit of
WebOffice for real estate
professionals. Time is valuable, and
our clients are often notably impressed
that we are technologically advanced
and so efficient at this important step
in the home-buying process. We are

RE/MAX Classic agents also use the
Document Manager to keep a running
list of addresses that are suitable for
virtual home tours on the Internet.
Another WebOffice folder houses
current and archived copies of the
company newsletter. Yet another is the
home to frequently used company
logos and clip art.

Boji points out that RE/MAX employs a
“virtual assistant” who has her own
designated folder in the Document
Manager. Agents know to go directly to
this folder for the latest documents,
flyers and forms. “It makes little
difference that the assistant is located
in another office,” says Boji. “She is
able to mass distribute the new and
updated documents we need on a
daily basis, and we are able to retrieve
them with no problem from wherever
we happen to be.”

The Online Calendar is used to
broadcast the date, time and location
of every company event, including
international real estate conventions
and “Tool Time” educational classes
held twice a month.
“The Calendar provides everyone with
a very simple way to check on what’s
happening well in advance,” says Boji.
“The automatic reminders that go out
to members via e-mail before the
events happen are so convenient, and
they encourage users to visit our
WebOffice frequently.”

Announcements appear daily on the
WebOffice home page, and usually
feature recent sales wins or classified
ads. This virtual bulletin board is a
popular spot as folks “check in” each
morning.

Boji points to WebOffice as the main
reason why more than 90% of her
agents are e-mail and computer users
today. “Members don’t want to miss out
on e-mail reminders because they are
interested in reading or retrieving
information that is essential to their
jobs. Once at the site, the WebOffice
applications are so intuitive, you can’t
help but want to investigate and use
them to make your professional life
that much easier.”

With over 100 members on the
RE/MAX Classic intranet, Boji insists
she could go on forever about the
benefits of this service. When asked
about her experience with WebOffice
technical support, she admits that
WebOffice is so intuitive and so well
maintained on the back end, she has
never had occasion to ask for help.
